Adding documents and media to your library

The first and most important thing to know about adding assets is that METADATA will help improve your user experience. Please take the time to add as much metadata as possible.


    1. TITLE: The default title of a new asset is the file name. Please change the default title to the exact title of the document. The application will display the title of your asset in many places throughout the website (provided you assign it to these places). Keep your titles relevant, efficient and easy for others to discover when searching for content. Keywords are very important. Keep the length under 50 characters when possible.
    2. CAPTION: A brief description of the asset that will appear in the viewer.
    3. AUTHOR/SOURCE: The author(s) or copyright holder of the asset.
    4. DESCRIPTION: A brief description or synopsis describing the asset. The search technology of BDL uses the description for better results.
    5. AUTHORED DATE: This date field allows you to properly archive all documents and allow for proper search and filtering. Input the date when the asset was created.
    6. ORGANIZATION: Please select organization type.
    7. MORE INFORMATION URL: Add the outside link for users to discover more information.
    8. DOCUMENT TYPE: This classification allows for better filtering and assigning of assets. Choose the document/MIME type that best describes your asset.
        1. Asset = Add the asset to a document library.
        2. Document = Allows users to comment on your document.
        3. Link = This allows you to add a URL to the related links tab.
        4. Source = Allows you to create sources and references and them to a project, document etc.


In order for the public to see and use any of your assets, documents, presentations, YOU MUST PUBLISH TO THE PUBLIC, by checking the box located in this tab!

Assign Location

You can easily assign latitude and longitude coordinates to an asset by either typing the exact coordinates into the field or by clicking on the location on the map. The coordinates will automatically appear. Use the map tab to display the map.

Youtube And Remote Video Urls (Vimeo)

1. Publishing YouTube Videos: From the webpage you will have the option to EMBED your video by selecting the EMBED button under the main video player. The EMBED URL will look like this:

*Please DESELECT the "include the related videos" and "show border option". Just a plain old embed tag is all you need.

2. Videos uploaded to MY DOCUMENTS. Please add file name in field: EX: Gr_Demo_IEP_v5_24_HD2.wmv
